Privacy Policy

Summitas Glass ("Glass") is a client-relationship system for wealth-advisory firms and family offices, operated by Summitas ("we", "us"). This policy explains what information Glass handles, how it is used, and the choices you have. It applies to the Glass application, its family portal, and the emails and text messages Glass sends.

Two kinds of information

Your firm's client data. Households, contacts, documents, notes, deals, and everything else a firm records in Glass belongs to that firm. Summitas processes it only to run Glass for the firm, under the firm's instructions and its agreement with us. We do not sell it, mine it for advertising, or use it to train models.

Your account information. To give you a sign-in, Glass keeps your name, work email address, password (stored hashed), sign-in history, security settings, and, if you add one, your mobile phone number. Glass also keeps a record of the actions taken in the system (an audit trail) so firms can meet their compliance obligations.

Mobile phone numbers and text messages

You may add a mobile number to your Glass profile. Glass confirms it by texting you a code before it is used for anything. Once confirmed, the number is used only for the things you choose on your Profile & Security page: sign-in verification codes, if you pick text messages as your second factor, and notifications about your own work, if you turn them on. Text notifications are off until you choose them.

Mobile information and text-message consent are never shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties, except the messaging providers that deliver the texts on our behalf. Sharing with subcontractors who support the service, such as customer support, is limited to what is needed to provide it.

You can stop texts at any time by replying STOP to any message, by removing the number from your profile, or by turning text notifications off. Message and data rates may apply. Message frequency varies with your settings. How opt-in works, with the exact consent wording and sample messages, is set out on the Text Messages page.

How we use account information

  • To sign you in and keep your account secure, including two-factor authentication.
  • To send you the notifications and digests you have chosen, by email or text.
  • To let your firm's administrators manage seats, roles, and security policy.
  • To diagnose problems and keep the service running.

Who else sees it

Glass runs on hosting, email, and text-messaging providers who process data only to provide their service to us. We do not sell personal information. We disclose information when the law requires it, or to protect the rights and safety of Summitas, our customers, or others.

Retention and security

Account information is kept while your account exists and for a limited period afterwards for security and audit purposes. Firm data is kept for as long as the firm's agreement with us provides. Data is encrypted in transit and at rest; access within Summitas is limited to staff who need it to support the service.

Your choices

You can update your name, email, mobile number, and notification settings on your Profile & Security page. Firm administrators can deactivate accounts. For anything else, including a request to see or delete your account information, write to support@summitas.com.

Changes

If this policy changes in a way that matters, we will note the new effective date here and tell firm administrators.
